The Electrical Equipment (Safety) Regulations 2016 – What They Are About
Operational safety is an important issue for companies and public sector institutions. There are numerous regulations and standards that must be complied with. Among the regulations that affect almost all companies and public institutions across all sectors are the ordinances of the The Electrical Equipment (Safety) Regulations 2016. These regulate measures for accident prevention and occupational safety.
For electrical devices and systems of all kinds, the electrical equipment regulations result in the obligation to have them checked for their safe condition at certain intervals.
Inventory software from Timly helps you keep track of all kinds of appointments for any recorded equipment. Smart notes and overviews ensure a smooth integration into your operational processes.
The Electrical Equipment (Safety) Regulations 2016 assures that companies meet the basic safety requirements. The declaration of conformity and UK marking states that all electrical equipment must demonstrate that it has passed the conformity assessment procedure according to the EU declaration of conformity and CE marking.
What Obligations Does This Regulation Cover?
This includes equipment that uses electrical energy. This term covers all consumers of electrical energy, so that almost all electrical devices are affected. The electrical equipment regulations are aimed directly at companies and public institutions and lay down the following obligations in summary:

Installation, modification and maintenance may only be carried out by a trained electrician. This includes electricians, electrical technicians and electrical engineers.
Electrical installations and equipment must be kept in a safe condition.
Defects in electrical installations must be repaired immediately.
The electrical installations and equipment must comply with the local safety regulations and there must be protection against direct contact with live components.
The electrical devices and installations must be professionally checked for proper condition before they are put into operation for the first time – and at regular intervals thereafter.
The electrical equipment regulations deadlines depend on the type of equipment. Fixed electrical equipment must be inspected by a qualified electrician at four-year intervals. For all portable electrical equipment, the intervals depend on the environments in which it is used. For example, intervals of six months apply to bathrooms and large kitchens.
In laboratories, classrooms, workshops and on construction sites, the inspection period is twelve months. Portable electrical equipment and systems in offices must be tested every 24 months. Furthermore, in many cases, users must additionally ensure the proper condition of their tools before each use.

The Electrical Equipment Regulation: More Than Just an Annoying Obligation
However, with the multitude of equipment present in most companies and municipal facilities, it is a real challenge to observe all deadlines and take them into account when planning upcoming work. Especially as these can even vary within different areas of a business.
If a company does not comply with the existing obligations, those responsible can be guilty of an administrative offence. Therefore, the electrcal equipment safety regulations (2016) need to be fulfilled.
Managing a Company’s Electrical Equipment
Inventory software from Timly helps to keep a constantly updated overview of all work equipment in a company. When purchased, each item can be digitally recorded and provided with a space-saving QR code. All necessary information can be stored in the software.
This includes not only equipment designations and individual identifiers. Rather, any information can be recorded in a kind of digital file, such as operating instructions and maintenance notes. Assignment to categories makes it possible to filter inventories according to properties.
In this way, for example, all electrical devices can be easily displayed. Any employee with an internet-enabled device can access the information. With the Timly solution, the data is managed in the cloud and can be displayed by scanning the QR code with a smartphone in the optimised app. Maintenance dates and upcoming checks can be saved and shown to employees and schedulers.
The Hands-on Handling of Inventory Software
The Timly software has a dynamic character. It is designed to have all the necessary information about an inventory item permanently available. With the special smartphone app, all information can be called up and updated in real time. This makes it possible to define personally responsible employees and to make all necessary information and maintenance instructions available to them before each commissioning of a device.
For the users of equipment, the inventory app also offers the advantage that defects and faults can be reported easily and quickly. Dispatching has access to this information in real time and is supported in its work by tools such as the maintenance planner.
